BeachBox Vacation Rental Policies and Procedures

BeachBox takes great pride in our vacation rental properties and works hard to ensure a safe, clean, and fun vacation experience for all of our guests! Please don’t hesitate to contact us with any questions regarding the below policies.

Reservations and Payments 

 

Easy Reservation Process 

  1. Submit a booking request online or by phone.
  2. We’ll review the booking request to ensure it fits our policies and guidelines. 
  3. Your reservation will be confirmed once we’ve accepted the booking request and your payment has been successfully processed.

 

Reservations Made Outside of 30 Days of Arrival 

If your arrival date is more than 30 days from the date of booking, the first payment (40% of the rental fee, plus the non-refundable reservation fee and optional Travel Insurance cost) must be received to confirm your booking. An additional 30% of your rental fee will be due 60 days prior to your arrival. The remaining 30% will be due 30 days prior to your arrival date. 

 

Reservations Made Fewer Than 30 Days Before Arrival 

If your reservation is booked within 30 days of your arrival date, the full reservation amount is due at the time of booking. 

 

Security Deposit 

There is a $200 refundable deposit on all properties. You will be charged a pre-authorization charge on the credit card used for your reservation the day prior to guest arrival. This charge will be released three days after checkout pending no identified damages or other issues.

If for any reason a security deposit has not been added to the reservation, you are still liable for any damages at our property. 

 

Rental Fees

We have no hidden fees! The reservation total consists of the nightly rate, cleaning fee, and all requisite city and state taxes. We strongly recommend Travel Insurance but this is optional.  

 

Leaseholder Responsibilities 

The leaseholder is responsible for payment, deposits, damage to property and all responsibilities spelled out herein.  The leaseholder’s email address will be used for all notices and correspondence.  The leaseholder must be present at the property during the dates of occupancy.

You are binding yourself to the property during the dates booked once your booking is confirmed and you have entered into our rental contract.  There should be no expectation of compensation or relocation because you are not happy with the property for whatever reason.  

We will make every effort to correct impactful issues or problems encountered during your stay, but refunds should not be expected. 

BeachBox reserves the right to cancel a confirmed reservation (with good reason) at any time prior to the leaseholder taking occupancy of the property.  If this should occur, BeachBox will refund the full reservation amount to the payment method on file.  

 

Cancellations, Changes, and Refunds

Not following the Rental Contract, rental policies, pet policies or occupancy rules- including any illegal activity or conduct resulting in a nuisance-will be grounds for immediate eviction and the guest will not receive a refund. 

BeachBox reserves the right to refuse service to anyone. All rental properties are leased without regard to race, color, religion, sex, national origin, handicap or sexual orientation. 

 

Cancellations

All prepayments are nonrefundable and will be forfeited if a reservation is cancelled anytime after the booking is confirmed. 

 

Changes

Once we’ve confirmed your reservation, any cancellations, date changes or property switches will invoke our cancellation policy.

 

Refunds 

All refunds due to the leaseholder will be issued within 30 days of the date of cancellation, in the same form as payment was received.

 

Travel Insurance

We understand, things happen!  Unforeseen circumstances such as sudden illness, job loss, deaths or hurricanes do occur.  This is why we highly encourage all guests to purchase Travel Insurance to help protect the investment made on your vacation. This insurance is optional, but we strongly recommend it so if you experience a tragedy such as these listed above, you may be reimbursed.  

 

Choosing Your Vacation Rental 

Our rental properties vary in size, amenities and decor; pictures, floor plans and reviews by guests that have visited the property can be found on our website. Our team is familiar with each property and will be happy to assist you with choosing the perfect vacation home!  

 

Home Locations 

Our beach house vacation rental properties are located across Galveston Island, Surfside and Kemah. Our team can answer all of your questions regarding beach communities, views or beach access. 

Beachfront: there is nothing between the Gulf and the property, except a dune, a dune crossover or sand. 

Bayfront: the property is located on Galveston Bay. 

Waterfront Canal: the property is located directly on a canal. 

 

Pet Friendly Properties 

Our pet friendly properties allow up to 2-3 dogs under 50 lbs, please review the Pet Policy section on the property page for more details. A $25 non refundable fee per pet will be added to each reservation. If a pet damages and/or soils a property, an additional cleaning fee will be imposed. We apologize, cats are not allowed at any of our beach house properties. 

 

Amenities 

All of our properties include standard household items including air/heat, microwave, oven, coffee maker, toaster, blender, pots and pans, dishes, glassware and utensils. Our homes also have WiFi services that support multiple devices and streaming, as well as Roku with access to Sling TV for live television channels. Guests are welcome to log into their own streaming service accounts such as Netflix, Amazon Prime or Hulu. Please review the Amenity section on the Property Page for more specifics on amenities offered at your selected vacation rental. 

NOTE:  We do not guarantee the accuracy of the property information on our website; however, every effort has been made to ensure the accuracy of the property. It is subject to errors, omissions, price changes, change of property contents and/or features or withdrawal without notice. 

 

Community Swimming Pools, Fishing Piers, Boat Launches

Please note:  All community pools, fishing piers and boat launches are owned and/or managed by entities other than BeachBox. Amenities, hours of operation and cost are subject to change without notice. 

The community pools on Galveston Island are generally open from Memorial Day weekend through Labor Day weekend, every year. 

The Jamaica Beach community pool is open to the general public and is $5 per person, per day. 

The Sea Isle community pool is open to Sea Isle guests only. Pool passes are available for purchase, the cost is $100 which covers up to 10 guests for 7 days. 

The Terramar Beach community pool is open to Terramar Beach guests only with the pool key you will be provided. 

 

Linens 

Each property will be supplied the appropriate amount of bedding and towels based on the property’s occupancy. Everything will be ready upon check in time so you can just kick off your shoes and relax!  A bath towel, hand towel and washcloth will be provided for each guest. There will also be kitchen towels and pot holders. 

Standard beds will be made up with linens and comforters. Sleeper sofas and trundle beds will not be made; however, linens will be supplied for each of these beds. 

Please be sure that all linens remain at the property when you leave in order to avoid additional charges. 

 

Property Policies 

BeachBox works very hard to maintain a quiet atmosphere for the enjoyment of our guests and our neighbors. 

 

Occupancy 

The maximum number of guests allowed in each property is listed on the Property Page on our website. This maximum number of guests allowed includes all infants and children. At no time are individuals not listed on the reservation allowed at the property. 

 

Parties and Special Occasions/Events 

We rent to responsible adults older than 24 and family groups; a property may not be rented on behalf of underage guests. House parties are strictly prohibited at all of our properties and will result in grounds for immediate eviction. 

Occasions such as weddings, bridal/baby showers, prom groups or birthday parties are allowed on a case by case basis. Please contact us to see if we can host your event! 

 

Smoking 

All BeachBox vacation properties are non-smoking. Violation of the smoking policy will result in forfeiture of all monies and eviction. In addition, the guest will be charged for the additional cleaning of the property. 

 

Firearms

It is of utmost importance that our guests and associates experience a safe and secure atmosphere. BeachBox prohibits any person from openly carrying any firearm in an unconcealed (open) manner onto our properties premises. This policy applies to all firearms, regardless of whether the firearm is a long-barreled gun or a handgun. 

Guests or visitors who are lawfully permitted to possess a firearm may bring such firearm onto the premises only if the firearm is in a concealed manner. 

All guests that fail to follow this policy may be asked to leave the premises. 

An exception to the restrictions described in this policy statement applies to law enforcement officers and designated military personnel, while on duty and required to carry firearms in the performance of their duties. There will be no exemption to this policy for private persons;  even for those persons otherwise licensed and permitted to carry a firearm openly under state law. 

 

Pets

Nearly all of our properties are pet friendly! Please check the Pet Policy section of the property listing page for details on the number and size of pets allowed. If pets are found at a property that does not allow pets, the Guests will be subject to eviction without a refund.  We apologize but cats are not allowed at any of our beach houses. 

BeachBox and the property owner assume no responsibility for illness or injury that may occur to your dog(s) or dog owner by third parties. 

 

Parking

Parking is not allowed on lawns, empty neighboring lots, or dunes. Parked cars must not block emergency vehicle access at any time. Check with our team regarding parking restrictions for your specific vacation property. 

RVs, campers and trailers are not permitted on the grounds of any property at any time unless explicit approval has been granted from our team. 

 

New Construction 

Unfortunately, BeachBox cannot predict construction plans in the area.  You may reserve a property at a time when there is no construction, but it could begin prior to your arrival.  We regret any inconvenience that may result but we have no control over these situations and are not able to facilitate relocations or refunds.

 

Owner Closets and Garages 

Many of the homes have cupboards and closets that remained locked and contain the property owners personal items. Please respect the locked garages and cupboards and do not attempt to open them. 

 

Lost and Found 

BeachBox will not be responsible for any items that are left behind in properties. Please check the property thoroughly before departing. 

 

Missing House/Amenity Keys 

A $25 key replacement fee will be charged if the house keys are not left in the guest lockbox upon checkout. A $100 key replacement fee will be charged for missing community amenity keys (pool/fishing pier keys) upon checkout. 

 

Property Damages 

The leaseholder will be responsible for any accidental damage to the property or its contents caused by the guest, the guest’s family or invited guests, or the guest’s pet(s). 

Accidental damage is defined as unintentional damage from unforeseen accidents. Please contact us immediately if there are any damages to the property or its contents during your stay so we can address it. 

 

Maintenance and Emergencies 

When you check in, all equipment should be in working order, however unfortunately things do unexpectedly break down.  Please report any inoperative equipment or other problems right away so we can promptly resolve these issues for you. BeachBox has an excellent maintenance team which is available seven days a week to take care of everything from general maintenance to plumbing issues.  We will make every effort to quickly resolve any maintenance related issues during your stay. 

You will be given the emergency maintenance/housekeeping phone number in your check in instructions. Please contact us via email for non-emergency issues during your stay. 

BeachBox cannot be held accountable for issues we’re not aware of, so please complete a walkthrough of the home upon check in and notify us promptly if an issue is identified.  Maintenance issues will not be addressed at check-out or after you return home.

Elevator operation cannot be guaranteed.  If necessary, every effort will be made to facilitate a timely repair.

 

Housekeeping 

BeachBox’s goal is to always provide you with clean accommodations, and we work hard to ensure that your house is ready for your vacation. If any cleaning issues are noticed at the time of check-in, please contact us immediately. Our cleaners will happily correct the issue. BeachBox cannot be held accountable for problems we are not made aware of. Housekeeping related issues will not be addressed at check-out or after you return home. 

 

Guest Arrival and Departure

 

Arrivals 

Check in time is 4pm. We ask that you not pressure our staff to allow you to go to your property before your scheduled check-in time. Our inspecting and housekeeping teams are dedicated to providing a clean, sanitized and disinfected home for your stay at the property, we need to ensure that they have the time to do so. 

There’s so much to do while you’re waiting for your check-in time.  Enjoy the many beaches in the area, take a walk on the seawall or visit a local attraction.  Sometimes, although rarely, it may be necessary to delay check-in. 

Under no circumstances should guests go directly to, or enter their vacation property before receiving their notification with the lockbox information. 

 

Departures 

Check out time is 11am, we are unable to make any exceptions!  We need to get busy preparing for the next Guest.  Please follow the checkout instructions sent via email and have a safe trip back home.

Preparing for Your Vacation-What to Bring 

Review our list of things to bring for ideas and reminders about what you’ll need. You’ll want to be sure to pack enough supplies for the house and the beach for your vacation!  

 

Equipment Rental 

Items like beach necessities, cribs, and high chairs are available through local vendors.  Call us, we’ll be more than happy to refer you to them. 

 

Mail

We do not recommend shipping items to our properties. We are not liable for shipping speed or delivery accuracy. The guest will be responsible for tracking and locating their package. 

PLEASE NOTE:  Deliveries via USPS will not be made to your vacation home. If you must schedule a delivery to be made during your stay you will need to select UPS or Fed-Ex and/or pay for upgraded shipping to prevent final delivery or hand-off to the USPS.  This is even more important for Amazon Prime orders, where they will default to the USPS as the final deliverer. Amazon may recognize an address as valid but USPS may not deliver there.  We don’t facilitate mail recovery for packages, it is solely the responsibility of the guest. 

 

Errors and Omissions 

We have made every effort to provide accurate and complete information on both our website and in our printed material; however, BeachBox will not be held liable for printing errors, omissions, equipment failure, changes in amenities or furnishings provided from homeowners, or changes in amenities or furnishings provided from homeowners, or changes in views, beach access or neighborhoods.
